Guest Relations Assistant - Guest Communication (UNPAID)

As the main point of contact and face of NYAFF for guests, you will assist in preparing for their stay and providing support throughout their visit. Your primary focus will be on seamless communication and providing a warm reception to ensure guest satisfaction during their time at NYAFF.

This position requires full-time on-site availability during the festival dates, July 11-27, 2025.

Key Responsibilities

  • Collect and Coordinate Flight Details: Organize guest flight information and keep track of any updates.
  • Coordinate Check-Ins and Check-Outs: Assist guests to ensure smooth and timely check-ins and check-outs.
  • Ensure Timely Arrival: Manage guest arrival times at the cinema for press interviews, intros, Q&As, receptions, and red carpets.

Production Assistant (UNPAID)

The Production Assistant will work closely with the Production Manager to provide production support across all NYAFF Operations teams, including pre-festival preparation, all venue load in and load outs, event set up and breakdown, and other tasks as needed.

This position requires full-time on-site availability during the festival dates, July 11-31, 2025. The ideal start date for this position is June 15.

Key Responsibilities

  • • Set up and install festival signage both at the Film at Lincoln Center and the SVA Theatre
  • • Arrange pick up and delivery for sponsored products pre-festival and post-festival
  • • Help set up and break down press lines (red carpets, step and repeats, and lights) at venues and events throughout the festival
  • • Support the load in and load out of all festival venues and temporary spaces
  • • Provide production support at events (night markets, industry parties, and receptions), the green room, and other areas of the festival as needed, including but not limited to light bartending, supporting event check in, and other duties as assigned

The Member Relations Specialist will assist the General Manager with stewardship efforts, appreciation initiatives, and regular communication to maximize sponsor satisfaction and retention.

This is a hybrid, part-time position from May 15 - July 31, requiring a minimal commitment of one on-site day and two remote days per week. Full-time on-site availability is preferred during the festival dates, July 11-27, 2025.

Graphic Design Intern (UNPAID)

You will work directly with our Lead Designer and digital marketing team to strategize, craft, and design content for various marketing platforms, such as social media, digital advertising, email marketing, and print media.

We are seeking an Asset Manager, ideally a designer with knowledge of Asian films. The primary function and key responsibility of this role involve Assets Management, with the additional capacity to support as a backup designer when the team is under heavy workload.

The position is part-time and remote from May 15 - July 31. However, we encourage you to come to work with the team in person periodically.

Key Responsibilities

  • • Organize and manage assets in Dropbox, collaborating with programmers to ensure assets meet high-resolution specifications, maintain the Master Spread updated daily with asset statuses, and reorganize stills as necessary
  • • Coordinate asset movements, such as preparing a stills list for PR purposes, acting as the point of contact for logos and laurels from other teams, and providing assets (stills, trailers, designer's graphics, etc.) to the social media team

VIP Guest Relations Manager (UNPAID)

NYAFF is seeking a highly organized and detail-oriented VIP Guest Relations Manager to lead all hospitality efforts for all the domestic and international guests at the festival. Reporting to the Executive Director and working closely with the Programming and Operations teams, you will recruit and manage the Guest Relations team; coordinate with travel agents for flight and accommodation booking; create and manage guest itineraries; ensure a seamless experience for all guests; and provide on-site support during the festival. This role is ideal for someone with strong communication skills, experience handling high-profile talent, filmmakers, and international guests and the ability to thrive in fast-paced environments.

The ideal start date is April 15, 2025 or earlier. A minimum of 10 hours per week from April to May and full-time availability from June to July is required. On-site presence is required during the festival dates (July 11-27).

Reporting to the Executive Director and working closely with the Programming, Public Relation, and Operations teams, you will recruit and manage the Digital Marketing team; develop and execute marketing strategies; manage and grow our presence across all digital platforms; and analyze key performance metrics to optimize outreach.

The ideal start date is April 15, 2025. A minimum of 10 hours per week from April to May and full-time availability from June to July is required. On-site presence is preferred during the festival dates (July 11-27).

This is a unpaid internship running from April 14 - July 31, with full-time on-site availability required during the festival dates, July 11-27.

  • • Develop, schedule, and manage engaging content tailored specifically for Xiaohongshu, showcasing the festival’s unique offerings.
  • • Strategize and execute digital campaigns to promote festival, partners, and sponsor events.
